  1. Initial Migration & Foundational Structure (2018): Aviation Australia began by migrating existing content into openEQUELLA. A critical step involved meticulously aligning content with aviation (CASA, EASA) and vocational (AQF) regulations, guiding the creation of extensive metadata and taxonomies. Doug Smith recounted, “Never done so many spreadsheets in my life. Carl [from Edalex] used these to create the taxonomies so that the end result was aligned to the regulations or file search.” This laid the groundwork for robust discoverability.
  2. Content Refinement & Quality Assurance (2019): Their team undertook a year-long effort, refining over 100,000 legacy files down to 30,000 “heavy rotation” resources. This phase established the “Master Courseware Collection,” ensuring all content was up-to-date, quality-assured, and properly cataloged.

LMS Integration & Single Source Courseware (2020 onwards): A pivotal step involved integrating openEQUELLA with their new Brightspace LMS. The goal was to create all course offerings in Brightspace with direct links to master resources residing in openEQUELLA. “We use LTi to bring in ‘child-files’ to compile the final HTML pages in the LMS,” explained Doug. This ensures content is stored once but used in multiple courses, always displaying the latest approved version.

  • Seamless LMS Integration (LTI) & REST API: The LTI integration with Brightspace has been “pivotal,” allowing HTML content and media to be served directly from openEQUELLA into the LMS. Furthermore, Aviation Australia developed a custom “Toolbox” authoring application which uses openEQUELLA’s REST API to programmatically manage, create, update resources, and manage workflows. As Nick highlighted, “we were able to programmatically do everything that you can do within the openEQUELLA user interface.”
  • Automated Document Generation (“Autopilot”): From the core HTML content in openEQUELLA, their custom “Autopilot” system automatically produces supporting documents like instructor presentation slide decks, student PDFs, and instructor guides/lesson plans. This dramatically reduces manual effort and ensures all supplementary materials are consistent with the master content.
  • Version Control & Auditability: openEQUELLA’s out-of-the-box version control is critical for auditability and compliance. If a technical inaccuracy is found, changes can be rolled out quickly, and the system ensures the latest approved version is always presented in the LMS, while maintaining a clear history.
